@-mentions in CAPA updates

Type @ in any CAPA comment to mention a teammate. The mentioned user gets an email and an in-app notification, and the mention is preserved on the activity timeline as a clickable link.

Mentions work in CAPA update comments and on CAPA timeline notes — anywhere the CAPA comment composer renders.

  1. Open any CAPA detail page and start a status update or comment.
  2. Type @. A typeahead popover opens directly under the cursor.
  3. Continue typing — the list filters by name and email of active workspace members in your organisation.
  4. Use / to navigate, Enter to select. Esc closes the popover without inserting.
  5. The mention is inserted as @Full Name and stored as a structured token (not just text) so it survives edits and renders as a link on the timeline.

The typeahead only shows users who are currently active workspace members in your organisation. Viewers can be mentioned too — mentioning them does not change their role.

  • Email with a subject like Mariusz mentioned you on CAPA-2026-0042 and a deep link to the CAPA. Sent from no-reply@sertiq.app, branded with the Sertiq logo.
  • In-app notification bell badge increments. Notification text: @Mariusz mentioned you on CAPA-2026-0042. Click to open the CAPA, scrolled to the comment.
  • Timeline entry on the CAPA shows the mention rendered as a clickable name styled in the brand colour.

Email delivery uses Resend; if the recipient’s organisation has email notifications disabled in their profile, only the in-app notification fires.

You can mention yourself (handy for self-assigned reminders). The notification still goes out, including the email — useful if you want a record in your inbox.

Mentions are also supported on audit log comments. The same @ typeahead works, and the same notification logic applies. Useful when an auditor wants to flag a record for the QE Manager to look at without raising a new CAPA.

What happens if the mentioned user is removed

If you remove a workspace user (see Removing a user), historical mentions stay on the timeline as their last-known name, but the link no longer routes anywhere and no new notifications will fire if someone re-mentions them. The typeahead immediately stops offering them.

  • Mentions are scoped to your organisation. You cannot @ a user in a different tenant.
  • There is no hard cap on mentions per comment, but the email digests one mentioned you notification per (comment, recipient) pair — five @Mariusz in one comment send one email, not five.
  • Mentions cost no AI credits. They are a free, always-on feature on every paid plan and Free.
  • CAPA — comments are written on CAPA updates.
  • Workspace access — managing who appears in the typeahead.
